Proceedings and Author Guidelines

As you may already know, Springer has developed a very innovative publishing approach which entails making your work available in as many parallel formats as possible (printed copy, eBook, epub for iPad, Kindle edition etc.). This is also reflected in the preparation of the manuscript and means that all files you submit will be converted and re-formatted according to the Springer branded style. For this reason it is no longer necessary for you to spend valuable time on putting the final touches to the manuscript.


The deadline for submitting FULL PAPER has been postponed until February 5, 2018.


The authors should submit the abstract first. After the abstract is accepted, the author has the option to submit a full-paper. Accepted full-papers will be published as IOMP/IFMBE proceedings.


The following applies to the IFMBE Proceedings:
  • Recommended paper range = 2000-3000 words
  • Each paper must be submitted with an abstract, keywords and a conflict of interest declaration
  • Citations should be numbered
  • Basic Reference Style will be implemented by Springer
  • Figures should be saved as TIFF with a minimum resolution of 600 dpi

Accepted full papers which are presented at the congress will be published in the IUPESM World Congress 2018 proceedings in the IFMBE Proceedings Series.

The IFMBE Proceedings series is an official publication of the International Federation for Medical and Biological Engineering.

IFMBE Proceedings are indexed by Google scholar. Thomson Reuters and Scopus index many volumes in their ISI Proceedings and the Scopus database, respectively.

Preparing your proceedings paper

English is the official language for all submission papers.

Submissions should contain original work, not published or under consideration for publication elsewhere.

The papers should follow the IFMBE proceedings format and have a recommended length of 4-6 pages.

The authors must upload their paper in (MSWord or LaTeX) AND pdf version format through the conference management system.

  • LaTeX template: recommended use of LaTeX2e for the preparation of your camera-ready manuscript, together with the corresponding Springer class file - llncs2e.zip contains:
    • llncs.cls, Springer class file;
    • llncs.dem, sample input file, you can use it as a source for your own input;
    • llncs.doc (actually a TeX file), the documentation of the class, with detailed instructions on how the macro package works;
    • llncs.dvi, DVI resulting out of llncs.doc.

Procedure for IUPESM WC 2018 Papers

1. Preparing your Submission

A. Download the template

  • 4-6-page paper: the IFMBE Manuscript Templates for Congress Proceedings

B. Write the paper according to the instructions, either

  • 4-6-page paper

2 column template: 1 page = approx. 810 - 815 words = approx. 5500 characters (including spaces); 4 pages (including first one) = 2370 - 2390 words = approx. 16000 characters
1 column template: 1 page = approx. 490 - 500 words = approx. 3160 characters (including spaces); 7 pages (including first one) = 2520 - 2530 words = approx. 16600 character

Compliance with Ethical Requirements: All authors must comply to Springer’s ethical policies and include statements in their manuscripts declaring whether there are any conflicts of interest with their paper.

Permissions: If excerpts from copyrighted works (including websites) such as illustrations, tables, animations, or text quotations are included in your manuscript, please obtain permission from the copyright holder (usually the original publisher).


2. Submission
  • Go to the webpage of the conference service: https://ocs.springer.com/ocs/home/IUPESM2018
  • Register and login, choose “Submission”.
  • Title: Give the title of your paper
  • Keywords: Give the keywords of your paper
  • Sessions: Please select one. Choose either:
    • the theme to which you are submitting your paper
    • if you have agreed to submit a paper to a Special Session, choose the correct one. By moving the cursor over the name of the special session, you can see the name of the organizer of that session.
  • Abstract
    • In case of submitting 4-6-page paper, Copy the Abstract chapter from your paper to the Abstract box.
  • List of authors: Give the names, email addresses and affiliations of all authors. Press the green button for each of them and choose the contact person.
  • Paper document: In both cases, attach your paper prepared according to the template as pdf
  • Source archive (ZIP): Leave empty.
  • Press “Submit”.


3. Processing

You will get a confirmation on your paper submission from ocs-admin@springer.com, containing the time-table for the evaluation and decision.

You will get the decision by March 5th, 2018, which will be:

  • Acceptance of the paper as such
  • Conditional acceptance: you should edit the paper and resubmit within few days, according to the deadline given with the decision
  • Rejection


4. Final Submission

The following applies to the IFMBE Proceedings:

  • Recommended paper range = 2000-3000 words
  • Each paper must be submitted with an abstract, keywords and a conflict of interest declaration. All authors must comply to Springer’s ethical policies and include statements in their manuscripts declaring whether there are any conflicts of interest with their paper. The statement can read ‘The authors declare that they have no conflict of interest’. Papers will not be published without these statements. Read Springer's Ethics Policies here.
  • Citations should be numbered
  • Basic Reference Style will be implemented by Springer
  • Figures should be saved as TIFF with a minimum resolution of 600 dpi
  • Copyright form is only needed upon final upload for accepted papers

After your paper is accepted you need to upload the following files to the conference service: https://ocs.springer.com/ocs/home/IUPESM2018

  • Copyright form (filled and signed)
  • Final pdf version of paper
  • Source files – Word doc/Latex, final manuscript file in pdf, figures (individual tiff files of 600 dpi and above), tables files (word format)
  • You need to do the final submission latest on March 15, 2018.
